The successful candidate will be a professional, energetic, self starter who is interested in being part of an innovative and fast paced environment.
Responsibilities:
- Manage main reception switchboard and act as first point of contact for all visitors and employees,
- Coordinates office services, including printing, mail distribution and messenger services, telecommunications, maintenance, purchasing and security,
- Coordinate travel arrangements for all business travel and manager corporate travel relationship.
- Maintains office equipment lease agreements, inventory and maintenance.
- Interface with external and internal partners, customers, employees, etc
- Lead program implementation for administrative process improvement
- Act as liason between vendors i.e. Imperial Coffee, Office Cleaners, etc. and Company
- Coordinate internal day-to-day requests (locks/keys, broken items)
- Coordinate with Landlord to ensure general services are delivered for recycling, waste management, and janitorial
- Prepare and maintain the boardrooms for meetings before and after
- Manage, maintain and replenish office supplies, kitchen supplies, office equipment, etc.
This position will report to the Human Resource Leader in addition, you will be responsible for supporting the VP, Operations and CFO with scheduling, planning, logistics and ad hoc projects.
Qualifications
- Diploma in office administration or related program.
- 3 years' minimum directly related experience.
- Advanced administrative skills, able to multitask and be adaptable.
- Resourceful, proactive and innovative approach to work with ability in creatively solving problems.
- Strong organizational and planning skills with high attention to detail
- Excellent written/oral communication and interpersonal skills
- Solid computer skills in Microsoft Office
- Able to deal with senior professionals in a demanding environment with tight deadlines.
